Cancellation & Refund Policy

Effective Date: April 30, 2025

(This policy outlines the terms for cancellations and refunds for trips booked with Nord Skies.)

OVERVIEW

We understand that travel plans can change unexpectedly. Our Cancellation & Refund Policy is designed to be fair and transparent, balancing your needs with the commitments we make to hotels, airlines, and other suppliers. This policy applies to all Nord Skies travel packages, whether you book a Land-Only package or a Full package (Air + Land). Please review the details below before booking, and don’t hesitate to contact us with any questions.

CANCELLATION TIME-FRAMES & FEES

If you need to cancel your trip, the amount of your trip cost that is non-refundable will depend on how far in advance we receive your cancellation notice. The schedule below applies to the land portion of your trip (e.g., accommodations, tours, and other ground services booked through Nord Skies):

  • More than 60 days before departure: 10% of the trip cost is non-refundable (you will receive a 90% refund).
  • 45–60 days before departure: 25% of the trip cost is non-refundable (you will receive a 75% refund).
  • 30–45 days before departure: 50% of the trip cost is non-refundable (you will receive a 50% refund).
  • Within 30 days of departure: 100% of the trip cost is non-refundable (no refund will be issued).

Please Note: The cancellation date is considered the date on which you inform Nord Skies of your intent to cancel in writing (e.g., via email). All cancellations must be submitted in writing and acknowledged by Nord Skies. We calculate the days before departure from the date of your written cancellation notice. In certain cases (such as specialty tours, holiday/event packages, or cruises), different cancellation terms or non-refundable deposits may apply – any such exceptions will be clearly communicated to you at the time of booking.

AIR-INCLUSIVE PACKAGES (Airfare Cancellation)

For packages that include airline tickets booked through Nord Skies, the airfare portion of your trip is subject to the airline’s own cancellation rules and fare regulations. This means:

  • Airline Fare Rules Apply: If you purchased airfare through Nord Skies as part of your package, any cancellation or change penalties for the flight are determined by the airline’s policy. Airlines may have non-refundable fares or charge separate cancellation/change fees (which can vary by airline and ticket class).
  • Airfare Refunds or Credits: In many cases, airline tickets are non-refundable. If the fare is non-refundable, the airline may provide a travel credit or voucher (minus any applicable fees) for future use rather than a cash refund. If the ticket is refundable or semi-flexible, we will assist you in obtaining any refund due according to the carrier’s fare rules.
  • Combined Cancellation Costs: Nord Skies’ land cancellation fees (outlined above) will only apply to the land portion of your trip. Any fees or losses associated with the flight portion are in addition to Nord Skies’ fees. For example, if you cancel 40 days before departure on an air-inclusive package, you would forfeit 50% of the land package cost per our policy plus any airline-imposed penalty for canceling your flight ticket.

If you booked your own airfare separately (Land-Only package with Nord Skies), please refer to the airline’s ticket terms for your flight cancellation options. Nord Skies is not responsible for airline tickets you booked on your own.

REFUND CONDITIONS AND PROCESS

We strive to make the refund process as smooth as possible when a cancellation occurs. Below are the key conditions for refunds and how we handle them:

  • Land Portion Refund Eligibility: Refunds apply only to the land portion of your trip and only to costs that have not already been paid out to third-party vendors. Many hotels, tour operators, and other suppliers require upfront payments that may be non-refundable. If Nord Skies has already paid such costs on your behalf (and cannot recover them due to supplier contracts), that portion of your trip cost will be non-refundable. We will always be transparent about any non-recoverable expenses when you cancel.
  • Timeline for Refunds: Once your cancellation is confirmed and we determine the refundable amount (if any), we will process your refund promptly. Refunds are typically processed within 14–21 business days of our approval of your cancellation. Please understand that once we issue a refund, it may take additional time for your bank or credit card provider to post the credit to your account (this can be up to one or two billing cycles depending on the institution). We will refund the amount to the original form of payment whenever possible.
  • Partial Cancellations & Unused Services: If you partially cancel a booking or choose not to use certain booked services during your trip, those unused portions may not be refundable. For example, if you are on a tour and decide to skip a pre-booked excursion or leave the tour early, we cannot provide a refund for the unused services. Similarly, no refunds will be issued for no-shows or last-minute changes made on the day of departure.
  • Force Majeure or Company-Cancelled Trips: (If Nord Skies must cancel your trip due to events beyond our control or insufficient participation, we will inform you of your options, which may include re-scheduling, credits, or a full refund. Such situations are handled separately from the guest-initiated cancellations covered in this policy. **We will communicate any such terms clearly if they arise.*)

TRAVEL INSURANCE RECOMMENDATION

Nord Skies strongly encourages all travelers to purchase travel insurance. A comprehensive travel insurance policy can protect you from financial loss due to unexpected trip cancellations, delays, or other covered events. In the unfortunate event that you must cancel your trip (for reasons such as illness, injury, family emergencies, etc.), travel insurance may allow you to recover non-refundable costs that our policy cannot refund. Some insurance plans also offer “Cancel For Any Reason” add-ons, which can reimburse a portion of your trip costs even for cancellations that fall outside standard covered reasons. Investing in travel insurance provides peace of mind and an extra layer of protection for your trip.

HOW TO CANCEL YOUR BOOKING

If you decide to cancel, please follow these steps to ensure your cancellation is processed smoothly:

  1. Submit a Written Cancellation Request: Send us a cancellation request in writing – the easiest way is via email to support@nordskies.com. Include your booking reference, names of all travelers canceling, and the intended trip departure date.
  2. Confirmation of Cancellation: Upon receiving your request, our team will send you a cancellation acknowledgment and outline any applicable fees or refunds per this policy. In some cases, we may provide a form or document to sign, confirming the cancellation details.
  3. Refund Processing: After you confirm and agree to any cancellation charges, we will proceed with processing any refund due. You will receive a notification once the refund has been issued. (Remember that it can take 2-3 weeks for the refund to fully process and appear on your original payment method.)
  4. Travel Insurance Claims: If you have travel insurance, retain all documentation of your cancellation (emails, receipts, etc.). You will need these when filing a claim for reimbursement with your insurance provider.

ADDITIONAL TERMS

  • Changes to Reservations: Changing your travel dates or making significant itinerary modifications is generally treated as a new booking and may be subject to cancellation fees on the original reservation. We will advise you of any costs before confirming changes.
  • Policy Changes: This Cancellation & Refund Policy is subject to change. The policy in effect at the time of booking will govern any cancellation of that booking. We recommend reviewing the latest policy on our website or with a Nord Skies representative when planning your trip.
  • Governing Law: Nord Skies is a U.S.-based company, and our policies align with general U.S. travel industry practices. This policy and any disputes arising from it will be governed by applicable laws and regulations of the United States.
  • Acceptance of Terms: By booking a trip with Nord Skies, you acknowledge that you have read and understood this Cancellation & Refund Policy and agree to its terms.
